The Process

Our 4-Stage Evaluation Framework

Every factory must pass all four stages in sequence. There are no shortcuts and no waivers — even for factories with long-standing relationships.

01Week 1–2

Initial Capability Assessment

A structured questionnaire covering production capacity, equipment, workforce size, current certifications and product categories. Factories that cannot meet minimum threshold criteria on paper do not proceed to the next stage.

02Week 2–3

Documentation & Compliance Review

All certification documents, audit reports, lab test results and compliance records are collected and independently verified. We cross-reference expiry dates, scope documents and audit body credentials.

03Week 3–5

On-Site Factory Audit

Our team conducts a physical audit at the factory — inspecting the production floor, quality control areas, chemical storage, worker facilities and management systems. Worker interviews are conducted separately from management.

04Week 5–10

Pilot Order & Performance Monitoring

A small pilot order is placed with intensive monitoring — daily updates, in-line QC inspection and a full pre-shipment inspection. Only factories that pass the pilot with acceptable defect rates and on-time delivery are fully onboarded.

What We Assess

8 Core Evaluation Criteria

Every criterion is scored independently. Failure on any single criterion at the audit stage results in rejection — partial compliance is not accepted. Download our supplier evaluation matrix →

Production Capacity

Factory must demonstrate sufficient capacity for your order volume without compromising quality or requiring excessive overtime.

Certification Status

Current, valid certifications matching your compliance requirements — verified against issuing body records, not self-declared.

Quality Systems

Documented quality management procedures, dedicated QC staff and infrastructure for in-process and final inspection.

Labour Practices

Compliance with minimum wage, working hours, freedom of association and no forced or child labour — verified through records and worker interviews.

Health & Safety

Safe working environment — fire exits, first aid, PPE provision, chemical handling compliance and no blocked or hazardous conditions on the production floor.

Environmental Compliance

Proper waste and wastewater treatment, restricted substance usage, energy consumption reporting and preference for factories with documented environmental management systems.

Export Experience

Demonstrated experience exporting to your target market — familiarity with documentation requirements, customs procedures and shipping timelines for USA, UK and European destinations.

Communication & Responsiveness

Reliable, professional communication in English — responsive to enquiries, proactive on production updates and capable of managing technical specification discussions without ambiguity.

After Onboarding

Ongoing Factory Monitoring

Passing the evaluation is the entry point — not a lifetime guarantee. Every factory in our active network is subject to ongoing performance monitoring and periodic re-evaluation to ensure standards are maintained across every order we place.

Annual Re-Audit

Every factory in our active network undergoes a full re-evaluation annually — including documentation review and on-site visit if conditions have changed.

Certification Renewal Tracking

We track expiry dates for all certifications across the network and alert factories — and buyers — in advance of upcoming renewals.

Order-Level Performance Scoring

Each completed order generates a performance record — defect rates, on-time delivery and communication scores are tracked cumulatively.

Corrective Action Plans

Factories that fall below performance thresholds are issued a corrective action plan with a defined remediation timeline.

Probation & Removal

Factories that fail to remediate documented issues within the corrective action timeline are placed on probation and removed from active sourcing if issues persist.
